Position in the DIGITAL Institute Secretariat (maternity leave replacement)

The Institute for Digital Technologies (DIGITAL) conducts research in the fields of digital technologies, intelligent sensor systems, and artificial intelligence to develop innovative solutions for the business sector.

To support our 140 employees, we are seeking a maternity leave replacement for our secretarial team in Graz, starting in November 2026, for at least 80% of a full-time position (38.5 hours per week).

Your Role

You will support the administrative team at the DIGITAL Institute in all organizational and administrative processes in accordance with our quality management system. In doing so, you will take on a wide range of tasks within the framework of a modern, digitized office environment:

  • General secretarial and administrative tasks
  • Organizing and handling business trips (travel management)
  • Processing orders and procurement procedures (purchasing)
  • Scheduling, coordinating, and managing appointments
  • Processing and monitoring of time tracking
  • Support with project controlling
  • Reception of guests and external partners

Your qualifications

  • Completed secondary education at the Matura level (preferably HAK or a comparable school) or a completed business apprenticeship with at least five years of relevant professional experience
  • Good computer skills, particularly in MS Office
  • Excellent written and spoken German (Level C1)
  • Written and spoken English skills
  • Basic knowledge of SAP is a plus
  • Strong ability to work in a team, high level of professionalism, and attention to detail
