Log data/access data

We process the following log data to increase the system security and functionality of our website:

  • IP-Adress
  • Date and time of the query
  • Name and URL of the retrieved resource
  • Amount of data (in bytes) of the requested and/or retrieved resource
  • Response from the server (e.g. http status code)
  • Recognition data of the browser and operating system used
  • Website from which the access was made

The legal basis is our legitimate interest pursuant to Art. 6 para. 1 lit. f. GDPR.

Your log data is generally stored for 30 days. Depending on the system, data may be stored for longer, but not longer than twelve months.

Cookies are small files that are stored by your browser on your end device when you visit a website. The next time you visit our website with the same device, the information stored in cookies is sent back to us. They enable us to recognise your device's browser the next time you visit our website so that we can display our website to you in the best possible way according to your preferences and settings.

    These enable basic functions and are necessary for the proper functioning of the website.
    We use these cookies on the basis of Art. 6 para. 1 lit. f GDPR (legitimate interest). Consent is not required.
    • Borlabs
      We use the Borlabs cookie as an essential cookie. This cookie stores consent information for service groups and individual services.
    • FriendlyCaptcha
      We use FriendlyCaptcha to distinguish between real and automated users, such as bots. By consenting to the use of the service via the cookie banner (consent pursuant to Art. 6 para. 1 lit a GDPR), you help us to prevent a large number of automated messages from paralysing our IT infrastructure.

      When you visit our website, your browser automatically connects to the servers of Friendly Captcha GmbH in Germany. Your browser transmits the solution to a calculation task, connection data, environmental data, interaction data and functional data to Friendly Captcha. Friendly Captcha analyses this data and determines how likely it is that it is a human user or bot and sends the result to the service user. Friendly Captcha does not use the data to identify a natural person or for marketing purposes, does not use HTTP cookies and does not store any data in the persistent browser memory. We as JOANNEUM RESEARCH are responsible for data processing, Friendly Captcha GmbH acts as our processor with whom we have concluded a corresponding contract.   • Marketing/Analyse Cookies
    These enable us to analyse access to our website, learn more about the use of our website and improve our services.
    We use these cookies on the basis of your consent in accordance with Art. 6 para. 1 lit. a GDPR. You give us your consent by clicking on the cookie banner when you visit our website.
    • For website analysis we use Matomo.Matomo is hosted on JOANNEUM RESEARCH servers in Austria, so your data never leaves our jurisdiction. IP addresses are anonymised in our configuration by shortening them by six digits. This means that no conclusion can be drawn about the actual location.

There is no obligation to consent to the processing of your data in order to use our website. Further (technical) information on cookies, their storage period and the option to customise or revoke them can be found under Privacy settings.

Some of the services used process personal data in the USA. This data is transferred to the USA on the basis of the EU Commission's adequacy decision pursuant to Art. 45 GDPR - ‘Adequacy decision for the EU-US Data Privacy Framework’ to companies that are certified under the Data Privacy Framework.

Matterport is a 3D spatial data platform that creates digital twins of physical spaces for virtual exploration and analysis. We have integrated Matterport into our website to present our products and laboratories to you.

Matterport is a service of Matterport, Inc. 352 E. Java Dr., Sunnyvale, CA 94089, USA. The representative in accordance with Art. 27 GDPR is the European Data Protection Office, Avenue Huart Hamoir 71, 1030 Brussels, Belgium.

As of 25 April 2024, Matterport will not participate in the DPF. Your consent also includes your consent that your data will be processed in the USA (Art. 49 para. 1 lit a DSGVO).

Social media channels

On our website, you will only find passive links to Bluesky, Facebook, Instagram and LinkedIn. Personal data is only transmitted to the operators of the social media platforms when you actively click on the links and are thus redirected to the social media website itself.

We would like to point out that we have no influence on the data processing of the various platforms. The use of the platforms to establish contact via the social media channels of JOANNEUM RESEARCH is therefore at your own discretion.

If you are registered with Facebook or Instagram, you can send us a message using the ‘Send message’ function. We use the personal data you provide in such messages solely to respond to your message.

 

Contact forms

If you contact us using a form on the website or directly by email, it is necessary that the data you provide be stored for the purpose of processing the request and in case of further questions, otherwise it will not be possible to process your request. In order to answer you, we need at least your first and last name, your email address and your telephone number. The legal basis for the processing is your consent in accordance with Art. 6 (1) point a GDPR. We will delete the data if you revoke your consent or after storage is no longer necessary, e.g. if your question has been answered or no business relationship has been established.

 

Newsletter and event invitations

If you register for our newsletter on our website or provide us with your contact details in the form of a business card or in a personal conversation with one of our employees, we will process your data for the purpose of sending you information material, newsletters and invitations to events. The legal basis for the processing is your consent in accordance with Art. 6 para. 1 lit a GDPR. You can revoke your consent at any time by clicking the unsubscribe button in the newsletter or by emailing newsroom@joanneum.at. Your data will be processed exclusively on the basis of your consent in accordance with Art. 6 (1) point a GDPR and in accordance with § 174 (3) TKG 2021.

You can register for events via our website or directly via e-mail invitations. Please refer to the respective registration form for the types of data processed. The legal basis for the processing is your consent in accordance with Art. 6 (1) a GDPR.

By registering for an event, you also consent to receiving invitations to similar events held by JOANNEUM RESEARCH and its partners, as well as newsletters and information material from JOANNEUM RESEARCH. Personal data will only be transferred to third parties in the context of events if this is necessary for (pre-)contractual measures or due to a legal obligation or if it is in our overriding legitimate interest (processors, events held jointly with partners, etc.). Should a transfer to third parties take place, this will be indicated in connection with the respective sending.

We use the software platform of the company eyepin GmbH (Austria) as our contact management and mailing system (information, invitations to events) in accordance with a data processing agreement.

You can also revoke your consent at any time here by clicking on the unsubscribe button in the invitation or newsletter or by sending an e-mail to newsroom@joanneum.at.

If you have received information material, newsletters or invitations without registering, we have used your publicly available contact data to inform you as a stakeholder about important developments, research results or events that are in the public interest. The legal basis for this is that the processing is necessary for the performance of a task carried out in the public interest (Art. 6 para. 1 lit.e GDPR), as enshrined in the articles of association of JOANNEUM RESEARCH. If you no longer wish to receive these mailings in the future, you can unsubscribe at any time by clicking on the unsubscribe button in the invitation or newsletter or by sending an e-mail to newsroom@joanneum.at.

 

Photography and video recording at events

Photos, videos and/or audio recordings may be made of events in which you can be recognised and which may be used by JOANNEUM RESEARCH for public relations purposes in all media (such as websites, social media, press) without any time restriction. The recordings may be passed on to the media for reporting on this event and published by them. By participating in this event, you expressly consent to the recordings and agree to the processing, editing and publication of the recordings for the above-mentioned purposes. You can revoke this declaration at any time in writing to JOANNEUM RESEARCH Forschungsgesellschaft mbH, Corporate Communications Department, Leonhardstraße 59, 8010 Graz, or cco@joanneum.at, for the future. This revocation applies to all future publications, but not to publications produced before.

 

Business co-operation

If there is a business/scientific collaboration between you and us, the data processing related to it will only be carried out to the extent necessary or to protect the legitimate interests of the contracting parties on a legal or contractual basis.

Your data is processed until revocation, the failure to establish a business relationship or in case of legal or contractual requirements.

 

Data protection in research projects

JOANNEUM RESEARCH processes research data in accordance with Austrian and European data protection laws and the Austrian Research Organisation Act (FOG) in conjunction with Article 89 (1) of the GDPR. If you take part in one of our research projects as a test subject or interview partner, you will be informed separately about data protection in the respective research project.

 

Online meetings via ‘Microsoft Teams’

We use the tool ‘Microsoft Teams’, a service of the Microsoft Corporation, to enable you to participate in online meetings, to conduct interviews for research projects efficiently and to achieve efficient communication and collaboration in projects. The processing of your data is based on Art. 6 para. 1 lit. b DSGVO (fulfilment of a contract) or Art. 6 para. 1 lit. f DSGVO (legitimate interest).

The following data may be processed during an online interview or meeting:

  • Information about the participant: display name, first name, last name, phone number, email address, encrypted password for authentication, profile picture.
  • Metadata: subject and description of the meeting, IP address, type of device/software, time of activity on Teams, number of messages, frequency of participation, duration of audio, video and screen sharing.
  • Text data from chat use for display and logging.
  • Recording data of the microphone and video camera.
  • Saved audio, video and screen shares
  • Incoming and outgoing phone numbers, country name, start and end time, IP address if applicable.

If we want to record ‘online meetings’, we will let you know in advance and, if necessary, ask for your consent.

Data processing does not take place outside the European Union (EU) as we have limited our storage location to data centres in the European Union. However, we cannot rule out the possibility that data may be routed through internet servers located outside the EU. This may be the case in particular if participants are located in a third country. Furthermore, in the event of support and maintenance, or if data is processed by Microsoft for business purposes, access to data from the third country cannot be ruled out in individual cases. Telemetry and diagnostic data are still not excluded, nor is any other data that may be processed under Microsoft's responsibility. In the exceptional event that data is nevertheless processed in the United States, the Microsoft Corporation's certification for the EU-US Data Privacy Framework Adequacy Decision for the United States applies. We delete personal data as a matter of principle when there is no longer any need for further storage. A requirement may exist in particular if the data is still needed to fulfil contractual services. In the case of statutory retention requirements, deletion will only be considered after the respective retention period has expired.

 

Your rights in data protection

Under the GDPR, you have

  • Right to revoke consent granted in accordance with Art. 7 GDPR
    Any consent you have given can be revoked at any time with immediate effect for the future without stating a reason. If we cannot rely on any other legal basis, we will no longer carry out the processing affected by the revocation of consent. Any processing carried out up to the point of revocation remains lawful.
  • Right of access according to Art. 15 GDPR
  • Right to rectification/right to completion in accordance with Art. 16 GDPR
  • Right to object in accordance with Article 21 of the GDPR
  • Right to erasure in accordance with Article 17 of the GDPR
  • Right to restriction of processing in accordance with Article 18 of the GDPR
  • Right to data portability in accordance with Art. 20 GDPR
